​IMEA Conference Exhibit Information

Request for exhibit Space
Dear Exhibitor,

On behalf of the Iowa Music Educators Association, I would like to welcome you to the 86 th Annual Professional Development Conference! If you are new to our Exhibitor Family we look forward to working together to create another successful Fall Conference for our Educators and Students alike! If you are a returning Exhibitor, we want to again thank you for your willingness to support this conference with your participation as an exhibitor and sponsor of this great event! Following are some final details as we approach November 16th.
Exhibitor letter

Exhibits on Thursday and Friday

  • Our Exhibits areas are open Thursday and Friday. No exhibits on Saturday.
  • All-State Chairs have been instructed to tell students during one of the afternoon breaks on Friday to come and visit the exhibits to help boost numbers during that time.

If a problem should arise, a refund may be requested until October 1, 2024 less a $30.00 processing fee. After October 1, no refunds will be granted.
The Iowa Music Educators Association Conference and the Iowa All-State Music Festival will be held November 21-23, 2024 in the Scheman Building of the Iowa State Center on the Iowa State University campus in Ames, Iowa.

​Fees for exhibitors are only $300.00 per the first booth and $265 for each additional booth
 

Booth Move In:
  • Thursday, November 21, 9:00 AM – 2:00 PM
★ Note: we have been advised that All-State Students will be begin arriving at 2:00 PM so it would be a great idea to have your set-up completed by 2:00 PM


Booth Tear Down
  • Friday, November 22, 5:00 PM

√***All Exhibitors are prohibited from tearing down before 5:00 PM Friday. ***  

Exhibit Hours: 
  • Thursday: 2:30 PM - 5:30 PM
  • Friday: 8:30 AM – 5:00 PM (including noon time)
** The conference schedule will include a specific time slot (2:00-2:30 PM on Friday) to allow Conference attendees to visit the Exhibits

Booth Reservation Physical Inclusions
  • 8’ x 10’ booth with an 8’ high back drapery and 3’ high side drapes (Most booths)
  • A company identification sign
  • One 6’ draped table (Table top dimensions: 2 ½’  x 6’)
  • 2 chairs
  • A large loading dock is available at the northwest corner of Scheman

Lodging
Historically, we have used the following properties. When contacting these properties, please identify that you are an exhibitor with the Iowa Music Educators Association Conference.

Again this year, IMEA will be providing name tags for everyone that you have indicated will be working at your booth.
​A coffee area will be provided, and all exhibitors will be pre-registered.  When you arrive at the Scheman building please check in at the IMEA registration booth (located on the top floor of the Scheman building) so that we may greet you and provide any last-minute information including name tags prior to your set-up.  Thank you for your support of the Iowa Music Educators Association!
